Mia: Privacy Policy

Mediation Matters, Inc. (“Mediation Matters,” “we,” “us,” or “our”) provides Mia: your guide to Mediation Matters, a custom GPT designed to help authorized users find, understand, and work with information and resources related to Mediation Matters.
This Privacy Policy describes how Mia’s connected integrations access and use information when a user chooses to connect an authorized Google or Microsoft account.
Information Mia May Access
Mia may connect to services used by Mediation Matters, including Google Drive and Microsoft SharePoint, through authenticated integrations.
When a user authorizes one of these connections, Mia may access:
- Files and documents the authenticated user has permission to access;
- File and folder names and related metadata;
- Document contents when necessary to respond to a user’s request; and
- Basic account information necessary to authenticate the user and maintain the authorized connection.
Mia’s integrations are designed to operate using the permissions associated with the authenticated user’s account. Connecting an account to Mia is not intended to provide a user with access to files or information they are not otherwise authorized to access.
How Information Is Used
Information accessed through Mia’s integrations is used to respond to requests initiated by the user. For example, a user may ask Mia to locate a Mediation Matters document, summarize its contents, identify relevant organizational resources, or answer questions based on information available to that user.
Mediation Matters does not use Mia’s integrations to sell personal information or for advertising purposes.
Read-Only Access
Mia’s current Google Drive and Microsoft SharePoint integrations are configured for read-only access.
These integrations are intended to allow Mia to search for and retrieve information. They do not provide Mia with permission to create, edit, move, or delete files in Google Drive or Microsoft SharePoint.
User Authorization and Access Controls
Users must authenticate with the applicable Google or Microsoft service before Mia can access information through that service.
Access remains subject to the permissions and security controls maintained by Mediation Matters and the applicable service provider. Users should only access organizational information consistent with their responsibilities and Mediation Matters policies.
Authorization may be revoked through the applicable Google or Microsoft account settings.
Third-Party Services
Mia is built using ChatGPT, a service provided by OpenAI, and may connect with services provided by Google and Microsoft.
Information processed through these services may also be subject to the applicable terms, privacy policies, security practices, and data-handling practices of those providers.
Mediation Matters does not control the independent privacy practices of these third-party service providers.
Data Security
Mediation Matters takes reasonable steps to protect organizational information and to limit Mia’s integrations to the access necessary for their intended functions.
Users are responsible for protecting their account credentials and for using Mia in accordance with Mediation Matters policies and applicable confidentiality requirements.
No method of electronic transmission, processing, or storage can be guaranteed to be completely secure.
Data Retention
Mia’s integrations are designed to access information in response to user requests rather than create a separate Mediation Matters repository of Google Drive or SharePoint files.
Information processed through ChatGPT, Google, or Microsoft may be retained or processed in accordance with those providers’ applicable terms, account settings, and privacy practices.
Changes to This Privacy Policy
Mediation Matters may update this Privacy Policy as Mia’s functionality, integrations, or privacy practices evolve. Any updated version will be posted on this page with a revised effective date.
